A Limited Access Client is a client you add to Tava without asking them to create a Tava account or complete Tava intake.
This option is best for existing or longstanding clients who do not need access to the Tava client portal and when you want to manage more of the client experience directly.
How Limited Access Clients work
When you add a Limited Access Client, the client is created in your Tava caseload, but they are not invited to set up a login or complete onboarding on Tava.
You manage the client record in Tava, and you are responsible for confirming consent and handling any communication or documents that are not managed through Tava for that client type.
What Limited Access Clients can and cannot do
Limited Access Clients do not have access to the Tava client portal or other self-serve client tools.
That means they cannot:
Log in to a Tava account
Complete Tava intake or assessments
Self-schedule appointments
Message you through the Tava portal
View billing history
Providers can edit the client record, schedule sessions, document care, use Tava's telehealth platform, and bill sessions in Tava for Limited Access Clients.
What communication Limited Access Clients receive
Limited Access Clients can receive appointment-related and billing-related emails.
For virtual sessions, they will receive reminders and session links by email after the session is scheduled.
Providers can also choose to turn off Tava-generated appointment notifications for a Limited Access Client. If that setting is turned off, the provider is responsible for sending reminders, updates, and session links directly.
When to use a Limited Access Client
Limited Access Clients are a good fit when:
You are bringing an existing client into Tava and do not want them to repeat intake.
You want to manage communication with the client directly.
You want to use an alternative telehealth platform for virtual sessions.
You want to verify coverage or estimated costs before inviting the client to complete full onboarding.
Payment methods for Limited Access Clients
If you bill Limited Access Clients through Tava, you can collect a payment method directly from their profile using a secure payment link.
With that link, the client will need to verify their identity and accept required consent before entering a credit card to have on file. This does not create a Tava account login for the client.
