Tava supports two-way calendar sync: sessions you book in Tava appear on your personal calendar, and busy time on your personal calendar automatically blocks availability in Tava. But not all platforms work this way, which can lead to blind spots or double-booking if you aren’t careful. There are two common alternatives.
One-Way Calendar Sync: Personal → Platform
In a personal calendar → platform sync, the platform reads your personal calendar to avoid conflicts, but does not schedule its sessions back to your personal calendar. This means your personal day view may look free even when you’ve booked clients elsewhere. Platforms in this category include SonderMind, Spring Health, Lyra, Grow Therapy, and Zanda.
| Important: Because Tava relies on your personal calendar to correctly block conflicts, be sure to add any sessions you schedule on these platforms to your personal calendar as well. |
One-Way Calendar Sync: Platform → Personal
In a platform (EHR) → personal calendar sync, the platform pushes its sessions to your personal calendar—often via an iCal feed—but does not read your personal busy time. Your personal appointments therefore won’t block availability on the platform, and iCal feeds may refresh on a delay. Platforms in this category include Rula, TherapyNotes, and Alma.
Stay Conflict-Free
To stay conflict-free, make Tava your source of truth. When you schedule on a personal → platform tool, immediately add a matching event to your personal calendar or place a busy spot on Tava so your personal view reflects the booking.
When you use a platform → personal tool, manually mark yourself unavailable on that platform for personal commitments and consider placing a hold in Tava, especially for last-minute changes. Assume iCal updates are not instant. If timing is tight, verify both calendars. A quick daily scan comparing your personal calendar with Tava’s can help you catch any gaps.
Always make changes in the system that notifies clients (for Tava clients, update in Tava first) so reminders and confirmations remain accurate.
