Privacy and ethics are foundational to the trust clients place in care. Tava Health takes privacy very seriously, and we understand that providers do, too. Protecting sensitive information is a shared responsibility: Tava Health maintains privacy and security practices for its Services, and providers are expected to protect client confidentiality, follow applicable law and professional ethics, and use the platform responsibly.
This article summarizes key expectations and explains how Tava Scribe handles session information. It is an overview, not a substitute for the Tava Health Privacy Policy, Terms and Conditions, your Provider Terms, or applicable professional requirements.
Our commitment to privacy
Tava Health’s Privacy Policy explains how information is collected, protected, used, disclosed, and stored. In its role as a business associate to independent affiliated clinical providers, Tava Health may process protected health information (PHI) subject to HIPAA. Tava Health maintains HIPAA compliance, uses physical, technical, and administrative measures to protect information, and undergoes industry-standard SOC 2 security and privacy audits.
Privacy protections are important, but no internet transmission or data storage system can be guaranteed completely secure. Providers also play an essential role in protecting information while using Tava Health Services.
Your responsibilities as a provider
Your Provider Terms require you to provide care safely and competently, follow the laws and regulations that apply to your practice, and meet the ethical standards of your relevant professional organizations. They also require you to exercise reasonable care, including confidentiality obligations, when using the platform or providing care remotely. For remote sessions, that standard must be at least equivalent to a traditional in-person interaction under applicable professional and regulatory requirements.
In practice, this means:
Protect client information and maintain confidentiality in accordance with HIPAA, applicable state and federal law, your license, and your professional code of ethics.
Use reasonable safeguards when providing remote care, as you would for an in-person interaction.
Keep your Tava Health password and other account security information confidential. Notify Tava Health immediately if you suspect unauthorized account use or another account-security concern.
Independently validate information available through the platform. The platform is not a replacement for your professional judgment, and you remain responsible for treating, diagnosing, and advising clients.
Obtain necessary consents and honor applicable confidentiality requirements when treating minors.
Tava Scribe session documentation
Tava Scribe is designed to reduce the administrative burden of compiling session notes and help providers remain present with clients. When enabled for a virtual session, it processes spoken content to create a concise, formatted draft and combines that draft with notes you have taken.
Tava Scribe supports your documentation workflow; it does not take the place of your clinical judgment or responsibility for the final record. Review the draft carefully, correct or complete it as needed, and ensure the final note accurately reflects your assessment and the care provided.
Client choice and provider control
Clients have the opportunity to opt out before joining a session where Tava Scribe is in use. Respect that choice and do not use Scribe for that session.
Providers can disable Tava Scribe in their Account Preferences.
How Tava Scribe handles session data
Tava Scribe drafts are encrypted and accessible through Tava Health.
Video is not stored.
Audio transcripts are retained for up to five days and deleted after the provider summary is completed. You have five days after the session to generate a note; reminders appear as transcript expiration approaches.
Transcripts are not used to train third-party AI models.
Tava Health will never sell a client’s PHI.
Clinical records and platform access
Your clinical judgment remains yours, and you are responsible for the professional services you provide. The Provider Terms state that Tava Clinical Services, P.A. and the platform operator may access and use information and service records contained in the platform for administration and management and for other purposes consistent with applicable law. Please refer to your Provider Terms and the Privacy Policy for the governing details about platform information and records.
Client relationships and referrals
Ethical care includes clear, appropriate handling of client relationships. Clients referred to you by Tava Health should remain on the Tava Health platform. If you believe a Tava-referred client needs to be seen elsewhere, contact Tava Health first so the situation can be reviewed. Address safety or legal issues right away.
This platform expectation does not apply when you brought the client to Tava Health or had a professional relationship with the client before seeing them through Tava Health.
Provider profile information
Tava Health may list your name, photo, and profile in third-party directories that promote Tava Health. If you do not want to be listed, contact therapist-support@tavahealth.com to request removal.
