Employee Assistance Programs (EAP) and insurance sessions allow clients to access therapy sessions with specific guidelines. Scheduling multiple sessions in the same week under EAP or insurance coverage is permissible, but there are a few conditions to keep in mind.
Key Guidelines for Scheduling Multiple Weekly Sessions
- Permissibility: Providers may schedule more than one session per week if there is a clear medical need. This flexibility provides support for addressing urgent or clinically necessary situations.
- Documentation Requirements: Additional documentation is required specifically for multiple weekly sessions. It is essential to ensure that clinical notes justify the necessity of the additional sessions. This documentation helps meet standard compliance and billing requirements.
- Same-Day Scheduling Restriction: Sessions cannot occur on the same day, even if clinical necessity is documented. This restriction helps maintain clinical integrity and billing structure while allowing flexibility.
Documentation Requirements
When you feel it is clinically necessary for client's to be scheduled multiple times in one week, you will need to ensure you document the need appropriately. For any client's Tava Health is managing the billing for, you will need to document the need for multiple sessions within your clinical note. You can determine the best place for this information, but Tava Health does suggest placing this information either in the "Assessment" or "Plan" portion of your SOAP note.
There is no specific formatting required for the rationale, please just use your clinical judgement on how to best justify the need for multiple sessions in one week.
If you had Multiple Sessions in one day
As reported above, there is no way to schedule multiple sessions in one day, but we do understand that emergencies can arise and may lead to having a regular session along with a crisis session in one day. If this occurs, please email the support team, support-therapist@tavahealth.com for guidance.
