Each session should be understood using three separate questions:
Question |
What it tells you |
|---|---|
Who sourced the client? |
The referral type and rate bucket: Self Referral or Tava Referral. |
How is this session currently funded? |
The coverage method: insurance, self-pay, credit card, EAP, authorization, or another benefit. |
Does this coverage have special rules? |
The session duration, authorization, documentation, or payout guidance for this appointment. |
Client Referral Types
There are two types of clients on Tava Health, based on who sourced the client.
Self Referral: You brought the client to Tava Health through your personal link, the Add Client button, your directory profile, or your own marketing.
Tava Referral: Tava Health sourced the client through an employer program, partner network, sponsored listing, the general Tava Health website, or another Tava-managed acquisition pathway.
Referral type determines the rate bucket, and it does not change over time.
Rate Buckets
There are two "buckets" of rates, determined by the client referral type. There are multiple rates within each bucket depending on the session.
- Self Referral Rates: Rates in this bucket vary based on the session's coverage method and specific plan details, including the insurance plan, sponsored benefits, or your cash‑pay rate if enabled. Self Referral Rates are visible here.
- Tava Referral Rates: Rates in this bucket follow a set rate structure and do not change when coverage method changes. Rates in this bucket are determined by session duration and certain sponsor requirements. Cash-pay rates and sliding scale discounts do not apply to Tava Referral rates. Tava Referral Rates are visible here.
Coverage Method
Coverage method can change over time, regardless of client referral type. A Tava Referral may use a sponsored benefit to cover their first few sessions, then continue with insurance or self-pay. The client remains a Tava Referral after that change, and rates continue to follow the standard Tava Referral rates based on session duration.
Similarly, a Self Referral may begin with one insurance plan, apply an authorized benefit for a few sessions, then use a different insurance plan. Rates will vary according to session duration and the specific coverage.
How to See Client Source
There are three ways to confirm if a client is a Tava Referral or a Self Referral. The “Referral” tab on the Client list shows “Tava” for Tava Referrals, and “Myself” for Self Referral Clients.
On individual client profiles, clients are labeled as “Tava Referral” or “Self Referral” below the client’s name.
On your Schedule, select a recent or upcoming session. Sessions are labeled as “Tava Referral” or “Self Referral.”
Common Causes of Misclassification
- Using the General Tava Website: Clients who register on the general Tava Health website instead of your unique signup link will be categorized as "Tava Referrals."
- Returning Clients: If a client previously signed up as a "Tava Referral" and later returns, their referral status will remain unchanged as a "Tava Referral."
If a client was misclassified, Tava support can manually update the client’s referral status. Please reach out to therapist-support@tavahealth.com if there are ever misclassifications.
Where to See Your Rates
Use the Payouts tab to view your rates. On the right hand side, you'll see exactly how much you will be reimbursed for each type of session, including for clients you bring to Tava (Self Referral Clients) and Tava Referral clients. For clients you bring to Tava, insurance payout rates can be viewed by selecting "See rates" under "Clients I Bring."
